Privacy Notice 1

The categories of information that we collect, hold and share about children, and young people include:

  • Personal information (such as name ; date of birth; school attended; who lives at home with them)
  • Characteristics (such as Special Educational Needs; Health/Medical needs and/or diagnoses; information about early childhood experiences)
  • Assessment outcomes (such as progress and attainment in learning; results of formal assessments and observations)
  • Behavioural information (such as exclusions; incidents at school and home)

Why we collect and use this information

We use the information to:

  • Allow us, at the request of their school’s SENCO and/or parent/carer(s), to complete assessments of the ‘whole’ child/young person and to investigate what their barriers to learning might be.
  • Advise school staff on the best way to support the individual’s learning
  • Discuss with parents/carers ways in which they can support their child’s needs
  • Advise school staff on how they can provide appropriate pastoral care
  • Advise Independent Review Panels on whether a school has undertaken their statutory obligations and given appropriate support to a pupil they have permanently excluded.

The lawful basis on which we use this information

We collect and use pupil information under  the lawful basis for collecting and using pupil information for general purposes Article 6 a) Consent and Special Category data, Article 9

Collecting pupil information

Information is provided to us, by choice, on a voluntary basis and with the permission of the parent/carer(s).  The consent may be withdrawn at any point and all related data will be destroyed within one week of receipt of notification being received from the school/parent.

Storing pupil data

  • We hold data for a period of two full academic years following the academic year in which it was collected eg the data of a child assessed in Year 1 would be kept until the end of their Year 3.
  • Data received as part of an Independent Review Panel hearing is destroyed immediately following the completion of the panel hearing.

Who we share the information with

We always share the information with:

  • The school the child/young person attends.
  • The child’s parent/carer(s)

We may also share the information with:

  • The Local Authority (such as to support an Education,Health and Care Plan application or Annual Review)
  • Relevant Health Professionals (such as Speech and Language Therapist; GP; Paediatric Consultant; CAMH practitioner)
  • Relevant Social Care Professionals ( such as at aTeam Around the Child Meeting)

Why we share pupil information

  • We share information so that any identified barriers to learning that the child/young person has can be supported.
  • We do not share information about the children/young people we assess with anyone without consent unless the law directs us to. (such as if there are safeguarding concerns)

Requesting access to your personal data

Under data protection legislation, parents and/or young persons 13 years and above have the right to request access to information about them that we hold. To make a request contact Tracey Foster or Sue Plechowicz at senservicessw@gmail.com

You also have the right to:

  • object to processing of personal data that is likely to cause, or is causing, damage or distress
  • prevent processing for the purpose of direct marketing
  • in certain circumstances, have inaccurate personal data rectified, blocked, erased or destroyed; and
  • claim compensation for damages caused by a breach of the Data Protection regulations

The categories of information that we collect, process and hold include:

Personal information

  • Place of work (such as School; Academy; College; MAT; Nursery; Charity)
  • Role within establishment (such as SENCO; Headteacher; Teacher; Trainee Teacher; Key Worker)
  • Work contact number
  • e mail address

Why we collect and use this information

We use client data to:

  • Focus and develop our courses/training opportunities including those aimed at specific groups
  • Inform individuals and establishments about our courses and training opportunities
  • Advertise our services through the publishing of testimonials on our website and in marketing materials (with additional consent)
  • Contact and/or correspond with individuals (such as responding to referrals; sending assessment reports; arranging meetings)

The lawful basis on which we process this information

We process this information under the lawful basis for general purposes Article 6 a) Consent.

Collecting this information

The information you provide to us is given by choice on a voluntary basis. We collect it in the following ways:

  • Course/training evaluation forms
  • Request for Involvement Forms
  • Electronic Opt-in consent form
  • School Websites
  • LA School information lists

Storing this information

We hold client data until we are informed by the individual client or establishment that the client no longer works at the setting or sooner if we are asked to delete it (such as by electronic response to consent form)

Who we share this information with

We do not share any of our clients’ personal data with any other person or establishment.

Requesting access to your personal data
